Swan Physio · 1 to 2 years inNew patients they can turn up or down

Marketing at Swan Physio was listless at best, and that is Cody's own description. A few Google ads ran, nobody tracked whether the money brought anything back, and that was about the whole effort. We ran Google Ads and Meta Ads together and made every client from the marketing visible. Now Cody can see directly which clients came from it, and work backwards from those numbers to whether the spend is economical. The books are growing, and the ad spend has become a dial: turned down in the really busy patches, cranked up when a new physio needs a full diary.

The starting position

Where the clinic was when we started.

Marketing was listless at best. That is Cody's description, not ours. Swan Physio had a few Google ads running, nobody was tracking whether they were receiving anything for the money spent, and that was about as much as the marketing did.

They had tried. Google ads themselves. Facebook ads, which in Cody's words they tried and failed miserably at. An outside marketer too, but it was explained poorly, seemed very expensive for what they were getting, and Cody never trusted they weren't being ripped off, so they pulled out.

A friend had done some work on the website, which was all right. The actual marketing side of it was poorly executed, if executed at all. Ask what all of this was costing and Cody gives the honest answer: they didn't know, and that was part of the problem. No good idea of whether they were making or losing money, and an expenditure never tied back to an outcome either way.

The push to get help was a growth plan. The clinic needed new clients to build the diary, so more physios could come on without robbing the current team of enough patients to keep them busy. Cost nearly stopped him, because marketing is hard to justify while it is still an intangible. What gave him the trust to give it a crack was how effective the other Clinic Mastery systems had already been, and what settled the nerves was tracking: seeing it measured is what let him see it working.

What we did

The work, in the order we did it.

Ran Google Ads and Meta Ads together.

The old marketing was a few Google ads and a Facebook attempt that had failed miserably, in Cody's words. This time both channels went on properly and got managed as one program. Google catches the people already searching for a physio, Meta reaches the ones who are not searching yet.

Made every client from the marketing visible.

Before, nobody knew whether anything came back for the money spent. Now Cody can see directly which clients came from the marketing, so he knows there was a tangible change. By his own account, that visibility was the biggest change and the biggest surprise.

Checked and rechecked how the ads performed.

Cody's summary of how we work: specificity, utilising all the available technologies, and checking and rechecking how the ads are performing. Nothing runs on set and forget. The performance gets read, then read again.

Fed the numbers back, so budget calls got made on evidence.

The reporting comes with feedback on how to adjust budgets accordingly, his words. Work backwards from the tracked numbers to the money spent, and you can decide whether or not things are economical. That is the decision Cody could never make before, on any of the earlier attempts.

How the decision gets made now

Start at the patient. Walk backwards to the dollar.

Before

A client walked in, and the trail ended there. Nobody could say whether the marketing was making or losing the clinic money.

A new patient books in

The diary gets its client. This is where the reading starts.

The marketing they came from

Seen directly, not guessed. The biggest change, in Cody's words, was knowing which clients had come from it.

The money spent to get them

Laid against the clients it produced, backwards from those numbers.

The call: economical or not

The decision the clinic could never make before, made on evidence, with budgets adjusted accordingly.

The walk is Cody's own description of reading the account: seeing directly which clients came from the marketing, then working backwards from those numbers on the money spent. His words, not our ad account reporting.

The numbers

Before and after, line by line.

Cody preferred not to share his spend, so there are no dollar figures in this table, and nothing in it is our ad account reporting. Every row is his own words. What he gave us is the shape of the change: marketing that was listless and untracked became a channel he can read, and the books are growing.

What control looks like

The diary sets the dial now.

Down

The diary is already full, so the ads ease off until there is room again.

Bringing on a new physio

Crank it up

Up

A new hire needs a busy diary, without robbing the current physios of enough patients to keep them busy.

This is the pressure that came off. Knowing the clinic can have a tangible effect on the influx of new patients, and turning that effect up or down as the diary asks.

Both settings are Cody's own description of how Swan Physio uses the ads now, which he calls really handy. The dial positions are drawings of his two settings, not measured spend levels.

Outsourcing something is different to outsourcing something successfully. This has been one of the very successful outsourcing moments for us.

What's next

Where the work goes from here.

The reason Swan Physio wanted new clients was never just volume. It was building the diary so more physios could join without robbing the current team of enough patients to keep them busy, and the dial is how that happens now: cranked up when a new hire needs a full book, turned down through the really busy patches. Cody's advice to another owner is to work closely with whoever is helping you and keep fine tuning, so that is the plan here too. Keep checking and rechecking, and let the budgets follow the diary.

He's increased our referrals from Google by a good 25% and it's still going up, since coming across to Pete from our previous agency, and he's been more cost effective than the last agency. So I wouldn't hesitate to recommend Pete. He's an absolute weapon in this space of Google Ads.

Working with Peter has helped me grow my clinic by getting a steady stream of new clients through targeted campaigns that actually connect with our ideal clients. It's freed me up a heap of time in my week and given me confidence to plan for future growth. Pete's great to work with. He understands the needs of clinic owner because he was one himself. Highly recommend

Clinic Mastery really is turning into a one-stop shop for anything that you would need as a clinic owner, not just their internal recommendations for accountants or from different payment options like health or income solution options and wills and estates, but now they cover marketing and Google advertising and website building to such a professional degree that you would think that they've been doing this for years. The communication and the clarity that I've received from Clinic Mastery and primarily Peter has been second to none. It's really been a decision that I am so thankful that I made and I wish I made earlier, because it's, I think of the money that I've spent previously on negative keywords that I could have saved and actually have attracted new clients to the clinic, would have been fantastic. Pete is incredibly patient and will explain anything that you don't understand in detail. From a total novice like myself, who now feels very comfortable reading our monthly summaries, knowing where my money is going and knowing the areas of growth that we should focus on, I would highly recommend.
